This article explains how to configure the radiology service so the system generates and displays an accession number on the Diagnostic Examination Result screen. The accession number will only appear when the IHS Service is enabled.

What is an accession number?

An accession number is a unique identifier automatically generated for each radiology examination.

Format: {PatientID}{YYMMDD}{Sequence}

Example: If Patient ID = 12345, date = 28 Aug 2025, sequence = 001, accession number = 123450825001.


Before you start

  • Permissions: You need access to System Settings and Service Configuration.
  • IHS Service: Must be enabled for accession numbers to appear.
  • Service codes: Radiology services must exist under SERVICE_CODE (XRAY, CT, USG, MRI).

Step-by-step setup

Idea
1. Enable IHS Service

  1. Go to Configuration > Reference > Reference Data > AUTH_CONFIG.
  2. Click Edit on the reference data and find the IHS Service option.
  3. Set status to 1 (Enabled) and click Save.
  4. You may need to re-login to apply the changes.

Note: The accession number will not be generated or displayed if IHS Service is disabled.

2. Verify or add radiology SERVICE_CODE entries


Go to the Reference Data → search for SERVICE_CODE and confirm the following entries exist. If missing, create them:

3. Map the radiology service to the correct examination screen

  1. Open Configuration > Registration > Service.
  2. Search for the radiology service to configure (example: X-Ray / XRAY).
  3. Assign or map it to the appropriate Examination Screen (for example: X-Ray screen layout).

  4. Save the configuration.

4. Validate accession number generation

Perform a sample radiology examination (or use a test patient) and open the Diagnostic Examination Result screen.

  • If IHS is Enabled: Accession number should be visible in the result screen using the format {PatientID}{YYMMDD}{Sequence}.
  • If IHS is Disabled: Accession number should not be shown.


Additional notes

  • The daily sequence portion resets each day (sequence starts at 001 each date).
  • No manual entry is required for the accession number; the system generates it automatically when IHS Service is enabled.
  • If the accession number does not appear after configuration, follow the troubleshooting steps below or contact your system administrator.
