How to Register Patient

The Registration module is used by administrative staff to manage patient registrations and appointment scheduling. This module ensures that patient data is securely saved and distributed to the relevant departments.

NotesNote: Make sure the patient profile is created before performing registration.

How to Create a New Registration

1. Access the Registration Module

  • Log in to the Ksatria eHospital system

  • Click the Registration module icon

2. Create New Registration

  • The Registration CRUD List will appear

  • Click the Create+ button

3. Select Registration Type and Location

  • On the Registration Setup page, select:

    • Registration Type

    • Registration Location

  • Click Next

4. Fill in Registration Details

a. Patient Information

    • Search for the patient by name or ID

    • Click on the matching patient record

      **If not found, create the patient profile first.

b. Payment Type

    • Auto-filled from the patient profile (editable)

    • Click Edit Details to update payment info:

      • Self Payment → Enter sponsor/payment details

      • Health Benefit/Insurance → Fill in provider info

      • Others → Add relevant payment information

c. Service and Time Slot

    • Select the service the patient will be registered to

    • Set schedule, assigned medical staff, and queue number

    • Check Is an Appointment if applicable

d. Service Details

    • Enter purpose of visit, admission diagnosis and procedures
      (including ICD-10 and ICD-9 CM codes if needed)

    • Add any additional notes

e. Referral Details

    • Check the Referral box if it's a referred patient

    • Fill in referral information

Click Next to continue.

Printing Documents

Finalize and Print:

  • Click Print Queue Ticket to print the queue number

  • Click Print Label to print the patient label

  • Click Print Wristband to print the wristband:

    • Choose either Adult or Child format

    • Click Print from the pop-up preview

Upload Supporting Documents

To Upload:

  1. Click Upload Document

  2. In the pop-up:

    • Drag & drop files, or

    • Click Select to choose files from file explorer

  3. Multiple files can be uploaded at once

    • Supported formats: JPG, PNG, PDF, Word, Excel, etc.

  4. Fill in the description and click Confirm

  5. Uploaded files will appear in the Supporting Document table

Additional Options:

  • View – Opens the file with the appropriate viewer

  • Edit – Only the description can be modified

  • Delete – Prompts for confirmation before removing the file

Click the Done button to finish the registration process.
The newly created registration will now appear in the Registration CRUD List.
