Journal Module - Overview and How to Use

The Journal Module in Ksatria eHospital is used to generate accounting journals for transactions such as inventory movements and invoicing. These journals can then be exported and integrated with external financial applications.

Journal Generation and Configuration

  • Journals are automatically created by the system based on predefined configurations.

  • Configuration is managed in the System Configuration module, which includes:

    • Chart of Accounts

    • Account mapping

    • Journal numbering format

  • Journals are automatically created for:

    • Inventory transactions

    • Invoice transactions

Accessing the Journal Module

  1. Log in to Ksatria eHospital.

  2. Click on the Journal thumbnail on the home page.

  3. The Journal CRUD List (Create – Read – Update – Delete) will appear, showing all journal entries generated by the system.

Switching View Modes

  • The Journal CRUD List is shown in list view by default.

  • To switch to grid view, click the Grid button.

  • To return to list view, click the List button.

Searching Journal Data

1. Simple Search

    • Use the main search bar to search journals using a single keyword.

    • The system will search across multiple fields:

      • Journal No.

      • Reference No.

      • Transaction Type

      • Transaction Detail Type

      • Account No.

      • Debit / Credit

      • Posting Status

      • Description

2. Advanced Search (Multiple Parameters)

    1. Click the Filter button to display advanced search parameters.

    2. Enter one or more criteria.

    3. Click Apply Filters to run the search.

    4. Click Clear Filter to reset all search inputs.

    5. Click Filter again to hide the filter fields.

Reviewing Journal Details

  • Each journal row contains an Expand button in the Command column.

  • Click Expand to view detailed information of a journal.

  • Click Collapse to hide the details again.

Exporting Journal Data

You can export journal data into an Excel file, which is compatible with external accounting systems such as Xero.

Steps to Export:

    1. Log in to Ksatria eHospital.

    2. Click on the Journal thumbnail on the home page.

    3. The Journal CRUD List will be displayed.

    4. Click the Export button.

    5. A pop-up will appear. Select a start date and end date.

    6. Click Export to generate and download the Excel file.

    7. The status of the exported journals will change from New to Exported.

    8. The export process is complete.
